Job Title: GVYC Program Coordinator
Reports To: Executive Director
Employment Type: Part-Time/Seasonal
Pay Range: $20/hour
Active Season: Feb 1st to October 31st, approximately 15-20 hours per week.
Position Overview
Grand Valley Youth Cycling (GVYC) is seeking a detail-oriented, organized, and proactive Program Coordinator to oversee the administrative and operational aspects of our youth cycling programs. The Program Coordinator will work closely with the Executive Director and complete administrative tasks and special projects as assigned without direct supervision. The Program Coordinator will report directly to the Board of Directors or its designee(s). GVYC’s programs are seasonal and cyclical in nature as they progress through their season, which is reflected in the requirements of this role. This is a predominantly remote position requiring online collaboration and occasional in-person meetings, including attending GVYC Board of Director meetings upon request. Work hours are generally flexible but with firm deadlines for tasks.
Key Responsibilities
- Administrative Management:
- Complete administrative tasks to ensure efficient program operations.
- Maintain accurate and up-to-date records for participants, staff, and volunteers.
- Implement organizational policies and procedures.
- Verifies coaches payroll hours
- Scheduling:
- Implement and manage schedules for practices, events, races, and clinics.
- Coordinate staff availability and assignments.
- Communication:
- Serve as a point of contact for programming to parents, participants, and coaches.
- Ensure timely communication of schedules to families, coaches, and volunteers.
- Respond to inquiries and provide updates on program details, policies, and events.
- Organize and lead parent meetings as needed.
- Other Duties:
- Assist with event planning, logistics, and execution.
- Collaborate with marketing teams to promote programs and events.
- Perform other tasks as assigned by the Board of Directors or its designee(s).
Qualifications
- Education & Experience:
- Familiarity with GVYC programs and organization preferred
- Minimum 2 years of experience in program management, administration, or similar roles.
- Skills:
- Strong organizational, multitasking, and time-management skills.
- Excellent written and verbal communication abilities.
- Familiarity with scheduling tools and office software (e.g., Google Workspace, Microsoft Office).
- Personal Attributes:
- Passion for youth development and cycling.
- Ability to work independently and as part of a team.
- High attention to detail and commitment to excellence.
- Other Requirements:
- Must pass a background check.
- Flexibility to attend events and meetings outside regular office hours preferred.
